Deposit definitions are used to set up pre-defined amounts or calculation methods for Advance Deposit payments toward Reservations. (Don't confuse this with Security deposits, which are completely different.) These are similar in many ways to setting up Rates -- you can specify any number of definitions according to your different types of sites, reservations, seasons, reservation length, and so forth. However they can also make use of Auto-Rates (if you're using them), for instance if you require a 50% deposit based on the total charges then only one Deposit definition has to be set up for that, rather than a separate one for each different Rate definition you have.
Deposits are never added completely automatically -- after all, it has to know you're taking a payment for it. These definitions are simply used to fill in the "Amount of Deposit" automatically, once you get to the Enter Deposit screen through Reservation Transactions (or when Guaranteeing a reservation and you click Enter a Deposit Transaction now). Depending on the options in Program Options / Reservations, it can either populate the "Amount of Deposit" field as soon as you open that dialog, or you can add a button to Auto-Set the deposit amount when desired. Of course you still need to select the payment method, etc as with any other payment entry.
Depending on the Access Levels configuration and the level of the operator logged in, it may or may not allow changing the amount once it has been automatically set.
